Operations Coordinator is seeking to fill the position of Operations Coordinator. They will be responsible for ensuring the smooth running of our administrative functions, HR and donor relationship management.

Publishing online-only since 2001, is a non-profit, award-winning, daily national publication that focuses on news and opinion from Canada’s grassroots social and labour movements. We are a lean, feisty operation that punches beyond our weight to make a real difference in the world through non profit journalism. Our content is not hidden behind a paywall; our revenue model relies upon converting readers into monthly members and donors.

We are seeking a practical idealist who is excited to support social justice, to help us meet our financial, human resources, and administration objectives.

In this role, you will provide operational leadership for’s team, and will lead the development and implementation of practices that support our team health, including managing administrative and human resource operations. You will report directly to’s Publisher.

Key responsibilities (included but not limited to):

–      Leads and coordinates human resource management activities, including maintaining personnel policies, and advancing rabble’s ongoing work on diversity, equality,

anti-oppression and inclusivity.

–      Prepares and manages payroll and monthly expense reports, and supports annual audit requirements

–      Provides administrative and coordination support to the publisher, board and team

–      Coordinates, prepares, edits and/or proofreads internal documents such as correspondence, presentations, meeting agenda and reports

–      Coordinates, schedules, organizes required materials, and take minutes for staff and board meetings, as well as our AGM

–      Maintains and updates contact lists, databases and project folders

–      Supports grant applications, management and reporting

–      Supports invoicing to clients and payment of suppliers/vendors, as well as employee reimbursements

–      Files annual returns, and ensures (alongside the Publisher) that continues to meet non profit governance requirements

–      Conducts general research and analysis as required for the organization

–      Ensures rabble’s documents and files are organized and in good working order

–      Manages passwords access for the organization

The ideal candidate is:

–      You are a problem solver. You relish reasonable challenges, and can take on a project and get it moving. Your proactive approach and willingness to think outside the box makes you the go-to person for getting a project that is stuck moving along, and you have a demonstrated ability to turn plans into action.

–      You live for organization. Lots of moving pieces don’t scare you — you’re looking to jump in and make sense of many interdependent systems.

–      You are dynamic. This is a fast-paced environment with a satellite team of up to 12 part time and full time colleagues. You can jump between tasks, issues, and communication streams.

Required skills and experience:

●     Minimum of three years experience in a senior administration role.

●     Demonstrated experience in managing a CRM (Keela knowledge a plus!).

●     Strong skills in Excel and Word or similar software.

●     Excellent written communications skills.

●     Exceptional project, time management, and prioritizing skills.

●     Proactive and creative problem-solver.

●     Good judgment and analytical skills with extraordinary attention to detail.

●     A creative approach to working with limited financial resources.

●     Enthusiasm for independent media and social mission driven organizations.

Assets (not required, but let us know if have these skills or experience):

●     Experience in human resources with focus on diversity, equity and inclusion

●     Knowledge of accounting and payroll software (Payworks, Xero or other)

●     Familiarity with any of the following: Keela, Basecamp, Dropbox, Google Drive, MailChimp, Toggl, Slack..

Terms: Contract, Part Time (3 days per week, or roughly 25 hours). Specific hours negotiable for the right candidate.
