Operations Manager

Are you a multitasker who enjoys a variety of administrative responsibilities? Have you worked at a nonprofit, association or similar workplace? Would you enjoy working with a high degree of independence with some of Ontario’s most innovative companies? If so, consider joining the team at the Ontario Environment Industry Association (ONEIA) as our Operations Manager.

Since 1991, ONEIA has brought together a growing number of environment and cleantech companies to help them engage governments and each other. Our Operations Manager is at the heart of what we do for the environment and for this growing collective of businesses (and those that support them).

This is a hybrid position where you will work from your home office and occasionally from our office in downtown Toronto. You will be a key member of the small team that supports a growing number of companies that are providing commercial solutions to the world’s environmental problems. Our members work in a range of different areas, from recycling and water purification to clean technologies, environmental consulting and alternative energy. What they have in common is that they use science and entrepreneurship to solve environmental problems and create the next generation of jobs.


The position

Reporting to the organization’s Executive Director, the Operations Manager will perform the following duties:

§ ADMINISTRATION: The candidate will be responsible for all administrative processes of the organization, including but not limited to a) issuing and tracking annual member renewal invoices and ensuring prompt collection; b) maintaining the membership list; c) answering and tracking all general inquiries and e-mails to the organization;

§ EVENTS: Together with our external event manager, the candidate will support the Association’s major events, including the annual Environment and Cleantech Business and Policy Forum and our Environment Industry Day lobbying event at the Ontario Legislature. The candidate will also help deliver our annual golf and curling networking events and regular breakfasts that feature political and technical speakers. This will include sourcing and booking venues, event promotion and setting up the registration site, confirming details with speakers and – in the case of our larger events – working closely with the event manager and organizing committee;

§ SUPPORTING OUR BOARD AND COMMITTEES: The Manager will work closely with our board executive and the chairs of various committees, helping schedule and promote meetings, take accurate meeting notes and then distribute them in a timely fashion;

§ FINANCIAL MANAGEMENT: The Manager will send invoices, track and deposit cheques received in the office, oversee regular payments to suppliers; distribute monthly and annual financial reports (created by the bookkeeper) and work with the Executive Director on the organization’s annual budget. The Manager will track outstanding Accounts Receivable and call those responsible for outstanding amounts to secure payment.

§ COMMUNICATIONS: The Manager will be responsible for updating the website as needed and drafting regular e-newsletters through MailChimp.

§ OTHER DUTIES: The Manager may be called upon to perform other, related duties, as required.

The work environment

This is a hybrid position where the candidate will work primarily from their own home office. ONEIA does maintain a small office in the Centre for Social Innovation in downtown Toronto, and the candidate will occasionally be required to work there. It’s a creative (and dog-friendly) workplace where you are likely to meet people who are fixing a range of social problems. We run a largely Results-Only Work Environment (ROWE) where we judge people on what they deliver, not the time they spend behind a desk. Accordingly, we are open to flexible work hours and candidates who have complementary gigs, side hustles or commitments.

Candidate skills:

The ideal candidate will have the following attributes:

§ Experience in an administrative office environment, preferably in a nonprofit or member-driven association;

§ Good organizational and time management skills and the ability to work independently, with minimal supervision;

§ Solid computer skills, including with MS Office, Outlook, web event systems (e.g. Eventbrite), web surveying systems (e.g. Survey Monkey), and mass-mailing systems (Mailchimp);

§ A proven ability to take accurate notes and/or task lists from meetings;

§ The ability to set up and manage Excel spreadsheets to track different types of database records;

§ Good time management skills and the ability to work with diverse groups of people;

§ A good work ethic and a responsible, responsive, open orientation towards those you serve;

§ Previous work in a scientific or technical field related to the environment is a bonus, but not essential; and,

§ Ability to write well in the English language is essential.

While we welcome applicants at all stages of their careers, this position ideally suits someone with a professional orientation who has demonstrated they can work in a self-directed environment.

Scheduling, location and remuneration

The position will offer up to 35 hours of work per week, with flexibility to schedule these hours according to the successful candidate’s availability, their commitment to other projects, and ONEIA’s needs.

Engagement will be on a contract basis, paying $30-34 per hour to start.
